Job Description

Provide full administrative support to the VP, including calendar management, prioritization of meetings, screening calls and emails, and coordinating daily tasks.

Prepare executive summaries, meeting pre‑reads, and contract materials to ensure the VP is well‑informed for all engagements.

Manage budgets, vendor selection, contract negotiation, and on‑site logistics for off‑site meetings and conferences in coordination with procurement.

Oversee business travel and visa arrangements, and ensure timely, accurate submission of expense reports.

Create polished PowerPoint presentations, respond professionally to internal and external inquiries, and maintain discretion with sensitive information.

Build and maintain strong relationships with global and external stakeholders, support strategic meetings, training, events, and team‑building activities across Europe.

Develop robust knowledge of the business's structure, tools, policies, and key contacts, support sensitive employee matters, and ensure completion of required training.

The Successful Applicant

Education & Experience: Bachelor's degree in Business or related field, or 10+ years of relevant experience.

Organizational & Problem-Solving Skills: Strong planning, attention to detail, ability to multitask, prioritize, and resolve issues independently.

Communication & Interpersonal Skills: Excellent written and verbal communication, customer service mindset, and ability to build professional relationships.

Adaptability & Initiative: Flexible, proactive, self-motivated, and able to thrive in dynamic, fast-paced environments with minimal supervision.

Event & Meeting Coordination: Proven experience in organizing international meetings and internal events.

Languages & Team Spirit: Fluent in English and Dutch, all the other languages are a big plus. Team player, fast learner, and eager to collaborate and share knowledge.
