As an Administrative Coordinator, you'll manage the daily flow of information, documents and schedules within the organisation. You'll keep databases and systems up to date, support the preparation of internal reports, handle administrative processes around HR, training and finance, and ensure colleagues across countries can rely on your organisational skills.

Job Description

  • Maintain and update internal systems and databases (e.g. project tracking, HR and finance tools)
  • Coordinate schedules and resources for internal programmes and training sessions
  • Assist with reporting, data checks and preparing presentations for management
  • Support HR processes such as onboarding administration and training follow-up
  • Handle administrative follow-up for suppliers and internal approvals
  • Ensure accurate documentation, filing and archiving (digital and hard copy)
  • Take on ad hoc administrative tasks that keep the office and operations running smoothly

The Successful Applicant

  • 2+ years of experience in administration, coordination or office support
  • Organised, detail-oriented and flexible in handling different priorities
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • A strong communicator in English, Dutch (and French)
  • Proactive, service-minded and a natural team player
  • Diploma in administration, business or similar is a plus but not required
