Job Description

  1. Committee Coordination and Activities (Quality & Sustainability Committee)
    • Coordinate Committees' activities on efficient and effective implementation of assigned projects as per workplans, budgets, timeline and contractual obligations;
    • Prepare meetings, budgets, agendas, minutes, reports, follow‑up actions, and documentation.
    • Track committee‑related projects, ensuring clear timelines and deliverables, and measure results.
    • Facilitate communication between committee chairs, the CEO, and relevant departments.
    • Organise, implement, and support key projects and the dissemination of committee outputs.
    • Dealing with vacancies, membership updates and Conflicts of Interests declarations within the committees listed above

  1. Corporate Project Leadership
    • Identify and monitor opportunities for the organisation to participate in or collaborate on EU‑funded projects (e.g., Horizon Europe, EU4Health) and, when required, draft selected sections of grant applications.
    • Lead and coordinate cross‑departmental corporate projects with clear planning, accountability, risk tracking, and progress reporting.
    • Support governance‑related initiatives, documentation, and internal process improvements.
    • Ensure alignment, timely reporting, and structured communication across teams.

  1. Policy & Advocacy
    • Monitor developments in the EU health, research, digital, and sustainability policy landscape and summarise implications for the organisation.
    • Support the organisation's EU advocacy strategy, including drafting briefs, consultation responses, and mapping of key partners and counterparts.
    • Coordinate with the CEO and committees to develop policy positions and recommendations.

The Successful Applicant

  • Education/Skills: Preferably Master's‑level education (e.g., political science, public health, or related). Experience with an EU scientific society is highly desirable.
  • Fluent in English; additional languages are an asset.
  • Excellent written and verbal communication
  • Strong understanding of the EU policy landscape, preferably in health, research, or sustainability.
  • Project management and organisational skills.
  • Analytical and writing skills for policy summarization and strategic documentation..
  • Ability to work with multiple partners and collaborators and to foster cooperation.
  • Presentation and reporting skills.
  • Proficiency in Microsoft Office (advanced level) and willingness to learn internal tools.

What's on Offer

Work Environment: the person will work in the city center of Brussels, in Belgium, working regimen min 80% - hybrid working (8 office days per month) limited travel (up to ~5%)
