Job Description

  • Coordinate and maintain efficient office procedures and workflow in line with firm policies.
  • Provide coverage and support within the secretarial team, including call handling and overflow work.
  • Maintain strict confidentiality of all client and firm information, records, and files.
  • Manage day-to-day diaries, schedule meetings, arrange business itineraries, and coordinate travel for attorneys.
  • Communicate professionally with clients, handle incoming calls and emails, and organize documentation.
  • Draft and format correspondence, memos, reports, and PowerPoint presentations accurately and on time.
  • Utilize firm software and computer systems for document management and filing (both electronic and hard copy).
  • Enter attorney timesheets into Intapp and manage time entries according to monthly deadlines.
  • Support the billing process, liaising with billing coordinators and arranging reimbursements or client invoices.
  • Maintain updated handover notes for each designated attorney.
  • Perform any other ad hoc secretarial or administrative duties as required.



The Successful Applicant

  • Fluent in English (written and spoken).
  • Strong organisational skills, able to prioritise workload and meet deadlines.
  • High technical proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Knowledge of French and/or Dutch is a plus.
  • Professional, punctual, and committed to providing quality service.
