Job Description

As a Personal Assistant, your key responsibilities include:

  • Acting as a personal assistant to partners and/or lawyers, managing calendars, scheduling appointments, coordinating meetings, and handling correspondence professionally.
  • Organizing and coordinating domestic and international travel, including flights, accommodation, transportation, client meetings, and invoicing travel expenses.
  • Preparing reports, presentations, and other business documents; managing files and confidential records (both paper and electronic).
  • Managing emails, responding to queries in lawyers' absence, and liaising with clients, other lawyers, and external agencies.
  • Assisting with billing processes, including collating information, checking drafts, and coordinating with partners, associates, and billing teams using systems such as 3E and Intapp.
  • Supporting the organization of events, client meetings, networking activities, and ad hoc assignments, including assisting visiting partners or senior associates.
  • Maintaining and updating client contacts, mailing lists, and other internal databases to ensure accurate and efficient communication.
  • Performing general administrative tasks to ensure smooth daily operations and contribute to the overall efficiency of the team.



The Successful Applicant

A successful Personal Assistant should have:

Experience & Knowledge :

  • Ideally 5 years of experience in a similar secretarial or business support role, preferably within professional services.
  • Excellent command of both English and German.
  • IT literate with strong skills in Microsoft Office, especially Word and Excel.
  • Formal secretarial qualification and prior experience are a plus.



Skills & Qualities :

  • Strong organizational and multitasking abilities to manage various responsibilities efficiently.
  • Excellent written and verbal communication skills; able to interact professionally with colleagues at all levels.
  • Ability to maintain confidentiality and handle sensitive information with maturity.
  • Proactive, self-motivated, reliable, and flexible, with the ability to work under pressure and meet tight deadlines.
  • Good problem-solving skills, initiative, and ability to prioritize tasks effectively.
  • Attention to detail, good presentation skills, and a professional, positive attitude.
  • Team player with a sense of humor and the ability to build strong working relationships.
